Free CRM With AI: Where the Free Tiers Actually Stop

HubSpot, Zoho and Bitrix24 all have real free plans with some AI. Here are the limits that matter for a home service business, and the one thing every free tier holds back.

Free CRMs are not a trick. HubSpot, Zoho and Bitrix24 all run genuine forever-free plans, and for a contractor just getting organised any of them beats a spreadsheet and a phone full of texts.

But every free tier has a wall, and it is worth knowing where yours is before you have 400 customers inside it.

What each one gives you

HubSpot

The most polished by a distance, and the easiest to start. Newer accounts cap at around 1,000 contacts and two users. Contact management, deals and email tracking are free. Automation, sequences, lead scoring and custom reporting sit in the paid hubs — and HubSpot gets expensive quickly once you cross that line.

Zoho CRM

Roughly three users and 5,000 records on the free plan, with more depth than you would expect: leads, deals, accounts, basic workflows, and a taste of their Zia AI. Paid tiers start around $14 per user per month. Good value, and the most generous free plan on features per dollar.

Bitrix24

The unusual one: unlimited contacts on the free plan, plus project management, telephony, video and a site builder. The practical limits are elsewhere — around 12 users, 5 GB of storage, and critically no sales automation rules on the free tier, no advanced reports.

Free-tier limits change often and quietly. These figures reflect published plans as of mid-2026 — check the current page before you commit a business to one.

The limit that actually bites

Notice what all three hold back. It is not contacts. Bitrix24 gives you unlimited contacts and still withholds automation rules. HubSpot gives you a polished free CRM and puts sequences behind a paywall.

Automation is the paid feature, on every one of them. Which is the same as saying: the free tier is a place to store information, and the paid tier is where the software does work for you.

For a home service business that distinction is the whole game. A list of 400 customers is not worth much. A system that chases the quote you sent nine days ago, confirms tomorrow's job, and asks for a review after the payment clears — that is worth real money, because every one of those is a task you currently do not do.

The second wall nobody mentions

Free or paid, none of these know whether you got paid. They are sales software. The invoice lives in your accounting package, and the CRM has no idea it exists.

So the follow-up that should fire when money lands cannot fire. The report that should tell you which finished jobs were never billed cannot exist, because no single system knows both halves. You end up reconciling by memory, and memory is where the money goes.

What the AI in a free tier really is

Mostly writing assistance — draft this email, summarise this note, score this lead. Useful, genuinely. But it operates on the CRM's own data, which means it can help you write to a customer and cannot tell you that customer has an invoice 40 days overdue.

AI is only as good as what it can see. Give it half your business and it can help with half your business.

An honest recommendation

  • Just starting, under 1,000 contacts, want polish: HubSpot free.
  • Want the most features at zero cost and can live with three users: Zoho free.
  • Need many users and unlimited contacts more than you need automation: Bitrix24 free.
  • Already feeling the gap between the quote and the invoice: no free tier will close it, because the gap is between two products.
